POSITION SUMMARY

A growing Investment Management firm is hiring a new executive assistant. This is a fantastic opportunity for a smart, motivated candidate with some experience to immediately contribute to its success. The ideal candidate will be comfortable with administrative, office and support roles.  Qualified candidates must be team-oriented, proactive and able to work independently.

 

ROLES AND RESPONSIBILITIES

  • Exceptional interpersonal skills, over the phone and in person, with our clients, business partners and firm relationships

  • Ability to juggle multiple tasks at once with confidence and competence

  • Smoothly handle office management responsibilities

  • Coordination/communications between clients, associates, client custodians and other professional intermediaries

  • Working with business development and key partner relationships to manage workflow and inquiries.

  • Maintain Executives' calendar including planning and scheduling of meetings, conferences, appointments, teleconferences and travel itineraries

  • Handle confidential materials related to investors, Board members, employees, family office and sensitive personal matters for Executives

  • Work closely with team for events, invites, tracking attendees, other operational planning

  • Collaborate with firm’s operations manager and all other firm members

  • Screen and direct incoming calls and correspondence, handle matters as needed

  • Putting together meeting materials, greeting clients and visitors

  • Drafting, editing and managing the workflow of marketing and client communications

  • Assisting and backing up other members of the team

  • Project work will be a component

 

REQUIREMENTS

  • Bachelor’s degree

  • Minimum 5 years experience as admin assistant and/or executive assistant

  • Desire to take ownership of tasks and work to resolve issues with minimal supervision

  • Superb communication skills, both written and verbal

  • Excellent organizational skills with the ability to prioritize and multitask

  • Positive attitude and leadership approach

  • Strong work ethic
